Case study · Screen printing and embroidery

A print shop where a $1,701 order was quoted in 17 minutes

Wrestling singlets, team stores for schools and clubs, and work uniforms. Orders live in the quoting software and customers write in by email. Now an AI office admin prices and builds quotes when the owner asks, texts him each new customer email, and checks every morning what is due, late and unpaid.

Before

Every lead needed the owner before it could go anywhere

  • Leads came in by email with vague briefs, like singlets for a wrestling club or a team store for a school.
  • Every quote was priced and built line by line by the owner, between print runs.
  • Due dates, unpaid orders and team store close dates sat in different places, checked when he had a moment.

A $1,701 quote, priced and built in 17 minutes

The owner sent the job details. The AI office admin priced it in 6 minutes, then built all 17 lines in the quoting software. He checked it and sent it himself. The customer paid the full $1,700.99 the next day.

A money check every Monday

Every Monday morning the AI office admin lists finished orders that still show as unpaid, biggest first. The first list found 16 orders worth $19,416, the oldest from March. Quotes with no answer get the same treatment, so nothing quietly goes cold.

Short texts that keep the shop moving

Each morning the owner gets one short text with what is due this week and what is running late. A new customer email becomes a one-line text within minutes. When a team store closes, he gets told it is time to order the blanks. He can reply with an order number and get the details back.

I couldn't be happier with the results we've been seeing, but what really stands out to me is the level of service, attention to detail, and genuine passion they bring to their work.

I've really enjoyed my experience working with them and couldn't recommend them enough!

The honest bit

The first version wrote email replies to customers for the owner to send. In 17 days it wrote 99 drafts, but they read too much like AI and he kept rewriting them, so in August he asked us to stop the drafts.

What he kept using was the quote work: pricing a job and building it in the quoting software when he asked. In October we rebuilt the rest as short texts to his phone instead of emails to his customers. The AI office admin never writes to his customers on its own.
