Case study · Home cleaning

A Sydney cleaning company that runs its office by voice note

Home cleans, deep cleans and end of lease cleans across Sydney. Every quote, booking and invoice used to be typed into ServiceM8 by hand. Now Ernie talks to Lucy, his assistant on WhatsApp, and she does the typing.

Before

Selling the job was quick. Getting it into the system was not

  • ServiceM8 held the jobs, but every booking, change and invoice had to be typed in by hand.
  • Each quote meant checking a price guide with hundreds of variations.
  • Leads came in by email and from marketing apps, then got retyped into a quote.
  • Chasing quotes and unpaid invoices sat with the owner, on top of selling.

Quotes priced from a voice note

Ernie talks through the job: how many rooms, what kind of clean, any extras. Or he sends a screenshot of the lead. Lucy prices it from Lumex's own price guide and sends the quote by email and text. He sent 42 photos and screenshots in the same 11 days.

A yes becomes a booked job

When the customer says yes, Ernie tells Lucy who and when. She adds the customer if they are new, books the job in ServiceM8 with the right line items, puts the cleaners on it, attaches the cleaning checklist and sends a link to pay. She knows Lumex's 16 service areas, so she can suggest who is closest.

Cleans move. Customers add an oven or drop a room. Ernie says what changed and Lucy updates the job in ServiceM8: the time, the cleaner, the items and the price. Regular fortnightly customers are set up once and their next visit books itself. Customers get a reminder before the clean.

Invoices go out, and the chasing runs itself

Ernie says "invoice for that" and the invoice goes to the customer by email and text, with a link to pay. If it sits unpaid, Lucy sends the reminders. Quotes get the same care: a follow-up at a pace he picks for each customer, and it stops the moment he says so. She has run 17 chases so far, 11 of them for unpaid invoices.

The honest bit

Lucy is two weeks old, and some things took a few goes. At first she showed Ernie a preview and waited for a yes before sending anything. That slowed him down, so now his word is the approval and she sends straight away. The quote follow-ups were too keen at first, so each customer now gets a pace he picks. And about half the quotes still get flagged for him to check, because real jobs do not always fit a price guide.

There are still limits. Half her replies land inside a minute, but a bigger job can take five minutes or more. Leads still reach her as screenshots, because her link to his inbox is not set up yet. And the daily pay messages for cleaners are built but switched off until he is ready for them.
